An employee shuttle service in Toronto runs on scheduled vans or Sprinters booked by the hour or as a recurring contract: luxury vans (6 seats) price about 25–30 % above sedan fares, and a 14-seat Sprinter runs $225–270 an hour with a 3-hour minimum, plus HST. Recurring shift runs are priced in writing per month, with named chauffeurs and one invoice.

Employee shuttle service in Toronto: who uses it

Four kinds of employer book staff shuttles with us. Warehouses, distribution centres and plants around Pearson, Mississauga, Brampton and Vaughan whose shifts start or end when buses barely run. Offices that move a whole team to an off-site, a training day or a client location. Film, event and construction projects that need crews at a site before sunrise. And airline, hotel and hospital operations that move staff between a base and a workplace on a fixed pattern.

What they share is a schedule that does not fit public transit and a group too big for individual taxis. An employee shuttle from TorontoAirportTransfer.services gives them a named vehicle, a chauffeur who learns the route and the faces, and a fixed price agreed in advance.

Planning figures for staff and crew shuttles

The reservation engine quotes one-off runs by address, date and vehicle. Recurring programmes are priced in writing by a coordinator.

Sprinter14$225–270/h, 3 h minShift changes, off-site days

As a guide to one-way distances, Pearson to Brampton is a $100–130 sedan fare and Pearson to Vaughan $115–145; multiply by about 2.2 for a Sprinter on the same run. Contract rates for a regular weekly pattern are normally lower per run than ad-hoc bookings because the vehicle and chauffeur are planned in.

Shift changes that transit does not serve

A 5 a.m. start in an industrial park off the 407 or Highway 50 is hard to reach without a car. The TTC runs overnight routes on main corridors, and MiWay and Brampton Transit cover much of Peel, but the walk from the nearest stop to a loading dock at dawn in February is a real barrier to hiring and retention.

A shuttle solves the last mile. Typical patterns we run: pick up at a subway or GO station and loop to the site; collect from two or three residential clusters where many staff live; or run a direct Sprinter from a central point at shift change and back again twelve hours later. The chauffeur waits at the site for stragglers for an agreed number of minutes and reports anyone missing to your supervisor, not to the employee's family.

Crew transport for airline, hotel and hospital teams

Crews who work around Pearson often need fixed runs between a hotel, a crew base and the terminals. We know the airport road system: the terminal frontages, the commercial pickup areas and the approach roads from Airport Road, Highway 409 and the 427. Crew runs are timed to the duty schedule, not the passengers' flights, and chauffeurs know to allow for security lines at staff entrances.

Hospital and care-home employers use scheduled vans for night staff between a site and transit hubs, particularly in winter. We keep the same chauffeurs on these runs wherever possible, which helps staff who value knowing who is driving at 11:30 p.m.

Off-site days, training and team events

A company off-site at a golf club north of the city, a training day at a hotel near the airport, or a volunteer day at a site across town are the classic one-off shuttle bookings. For groups of up to 14 one Sprinter is usually enough; larger groups get two Sprinters or a partner coach priced in writing.

We plan these like a small event: a departure point with a clear meeting time, a named chauffeur, the return time, and a buffer for the group photo that always takes longer than planned. The Sprinter group transportation page has the vehicle detail, and our corporate event transportation page covers evening functions that follow the day.

Recurring contracts and how they are priced

A recurring shuttle is priced from the pattern: number of runs per day, days per week, route length, vehicle size and seasonal variation. The coordinator sends a written schedule and a monthly price, with a per-run figure for extra runs and a clear rule for runs you cancel.

Contracts roll month to month unless you want a fixed term. Vehicle changes are easy: move from a Sprinter to two vans in summer when headcount drops, or add a run during peak season. All pricing is all-in (chauffeur, vehicle, fuel, 407 tolls if used) with HST shown separately.

Invoicing, cost centres and reporting

Shuttle programmes sit on a corporate account with a monthly invoice by default. Each run appears with date, times, route, vehicle and the number of passengers who boarded, if you want head counts. Cost-centre or department codes can be attached per run, which helps multi-site employers split the cost correctly.

Some clients ask for a simple monthly report: on-time performance, missed runs and any incidents. We provide it without charge; it keeps both sides honest.

Duty of care on early and late runs

An employer that provides transport takes on responsibility for how people get home. Our chauffeurs follow a few simple rules on staff runs: they do not leave a passenger at a dark, empty stop if the passenger asks to be taken closer; they wait until a lone passenger at a residential drop is at the door; and they report any incident to dispatch immediately.

Procurement teams can ask the coordinator for insurance and licensing documents for their vendor file; municipal vehicle-for-hire rules differ across the GTA (for Toronto, see the City's vehicle-for-hire licensing page). We do not overload vehicles: 14 seats means 14 passengers, and luggage or tool cases count against space.

Winter operations

The GTA's shift work does not stop for snow, and neither do the runs. In winter we plan a larger buffer on routes that cross the 401 or 407 at shift change, keep vehicles on winter tires, and move departure times earlier after heavy snowfall. Dispatch watches Ontario 511 for closures and warns supervisors when a run may be late.

If a storm makes a site unreachable, the coordinator calls your contact before the run rather than letting staff wait at a stop. Runs cancelled by us for safety are not charged.

Film, event and construction crews

Crews have kit. A camera or lighting team, a stage crew or a survey crew might carry cases that take as much space as passengers. We plan these on vans with the rear seats folded or on Sprinters with luggage space, and count the cases before assigning vehicles.

Film crews in particular work to call times that change daily. See our separate page on film and TV production transport for how we handle call sheets, unit moves and talent cars alongside crew shuttles.

Airport runs for staff travel

Teams flying out together, such as a sales team heading to a conference or a project crew leaving for a site in another province, often want one vehicle to Pearson rather than eight separate taxis. A Sprinter handles 14 passengers and 14 bags; for more, two vehicles leave together. Departures are timed to the airline's check-in guidance, and the chauffeur drops at the correct terminal door after checking the booking.

For inbound teams, each airport pickup is flight-tracked with 60 minutes of included waiting on international flights and 30 on Canadian and US. See the private airport shuttle page for shared and private airport options.

Accessibility and special requirements

Tell the coordinator if any employee uses a wheelchair or mobility device. Wheelchair-accessible vehicles are arranged as described on our wheelchair-accessible transfers page, and we will plan the route and drop point so the employee is not left at the wrong door.

Where a run carries employees with medical needs, share only what the chauffeur must know: for example, that a passenger may need extra time to board.

Shuttle versus reimbursing rideshare

Some employers try reimbursing individual rideshare or taxi trips first. It works for a handful of people, but it gets expensive and unpredictable fast: surge pricing at shift change, no guarantee a driver accepts a 4:40 a.m. trip to an industrial park, and a stack of receipts to process. A scheduled shuttle costs a known amount every month, arrives whether or not demand is spiking, and moves everyone at once so the shift starts on time.

The comparison is easy to run. Take the number of staff who need a ride, multiply by the typical one-way rideshare fare at that hour and by the working days in a month, and set it against a Sprinter contract for the same pattern. For groups of eight or more on a regular schedule the shuttle usually wins, and it solves the reliability problem that reimbursements never do.

Routes we run most often

Common patterns include loops from Kipling or Islington subway stations to sites in Etobicoke and near Pearson; runs from Brampton and Malton residential areas to distribution centres in the Airport Road and Highway 407 corridor; from Finch or Vaughan Metropolitan Centre stations to industrial parks in Vaughan and Concord; and from downtown hotels to training venues near the airport. Each route is timed at the hour it runs, not at a midday average, and we revisit timings when road work on the 401 or 427 changes the picture.

How to set up a shuttle programme

Send the coordinator the site address, shift times, expected headcount per run, pickup points or residential areas, the days of the week and your start date. We reply with a proposed route, vehicle plan and monthly price, usually within two business days.

A trial month is common. After it, we adjust stops and timings based on who actually rides, and fix the pattern.

Measuring whether the shuttle works

After the first month, look at three numbers: how many staff ride each run, how often the shift started on time, and whether absenteeism on early and late shifts changed. We supply the ridership and punctuality figures; you know the rest. Runs with two or three riders can often be merged, and a run that is always full may need a bigger vehicle.

Cancellation for scheduled runs

For one-off shuttles the sitewide rule applies per vehicle: more than 72 hours before pickup is free; 72 hours or less is 10 %; 48 hours or less is 50 %; 24 hours or less or a no-show is 100 %. For recurring contracts the written agreement sets how much notice you give to skip a run, for example on a statutory holiday, so there are no surprises on the invoice.

FAQ

Questions, answered

How much does an employee shuttle cost in Toronto?

Planning figures are $225–270 an hour for a 14-seat Sprinter and $160–190 for an executive SUV, each with a 3-hour minimum, plus HST. Luxury vans run about 25–30 %% above sedan fares on one-way runs. Recurring shift programmes are priced per month in writing and usually cost less per run than ad-hoc bookings.

Can you run shuttles for 5 a.m. or midnight shift changes?

Yes. Dispatch is 24/7 and most staff shuttle work is at the edges of the day. Common patterns are a loop from a subway or GO station to the site, or pickups from two or three residential areas. The chauffeur waits an agreed number of minutes and reports anyone missing to your supervisor.

Do you offer monthly invoicing for staff transport?

Yes. Shuttle programmes run on a corporate account with one monthly invoice. Each run shows the date, times, route, vehicle and head count if you want it, and can carry a cost-centre code. HST is listed separately, and extra runs are billed at the agreed per-run figure.

What happens to a shuttle run in a snowstorm?

We plan bigger buffers in winter, keep vehicles on winter tires and watch Ontario 511 for closures. If a site becomes unreachable, the coordinator calls your contact before the run so staff are not left waiting at a stop. Runs we cancel for safety reasons are not charged.

Can a shuttle carry crew equipment as well as people?

Yes, if we know in advance. Cases take space, so we count them and assign a van with seats folded or a Sprinter with luggage room. A Sprinter carries up to 14 passengers and 14 bags; heavier equipment loads may need an extra vehicle.

Is there a minimum contract length?

No fixed minimum. Many clients start with a trial month, then we adjust stops and times based on actual ridership. Contracts roll month to month unless you prefer a fixed term, and vehicle sizes can change up or down with seasonal headcount.
