A private Toronto airport shuttle from TorontoAirportTransfer.services is a van or Sprinter booked for your group only, going straight between your address and Pearson with no stops for strangers. A six-seat luxury van from downtown has a planning figure of about $160–205 all-in plus HST; a 14-seat Sprinter about $280–345. Flights are tracked and waiting is included.
Shuttle to airport Toronto: shared versus private
Most people searching for a shuttle to Pearson are weighing two things: price per person and hassle. Shared shuttles and hotel shuttles cut the price by filling seats with other travellers, which means fixed schedules, several stops and a detour through someone else's hotel driveway. A private shuttle is the same idea, a van that carries a group and its bags, but the van is yours. It leaves when you are ready, goes where you are going, and carries only the people on your booking. For a family, a team or a group of colleagues, the private version costs somewhat more per head than separate taxis but keeps everyone together and takes far less time than a shared route.
Private shuttle fares to Pearson
Planning figures, one way, all-in before HST. The luxury van and executive SUV take six passengers with six large bags; the Sprinter takes up to fourteen with fourteen bags.

Toronto Pearson airport shuttle: who books it
- Families travelling with grandparents, strollers and a week's worth of luggage.
- Sports teams and school groups heading to tournaments, with kit bags that will not fit in cars.
- Wedding parties collecting guests who fly in on the same afternoon.
- Corporate groups arriving for a conference downtown or at one of the convention venues near the airport.
- Film and TV crews with cases of equipment, often on early calls.
- Tour groups moving between Pearson, a downtown hotel and Niagara Falls.
For regular staff and crew runs there is a separate employee and crew shuttle service with scheduled pickups.

The vehicles
The luxury van (Mercedes V-Class or Chrysler Pacifica class) is the choice for up to six people who want easy access, sliding doors and a low step. The executive SUV holds the same six but with more ground clearance, which matters in a snowstorm. The Sprinter is a high-roof passenger van with individual seats, a rear luggage area and room for fourteen travellers and fourteen large bags. For bigger groups, coaches of 24 to 56 seats are supplied by vetted partner operators in the LimousineWorldwide.Directory network and priced in writing by a coordinator. The Sprinter and group transportation page covers larger moves in detail.
Toronto shuttle service compared with the alternatives
The UP Express train links Pearson Terminal 1 with Union Station in about 25 minutes, roughly every 15 minutes; it is excellent for light travellers going downtown, less so for a family with eight bags heading to Etobicoke. Check schedules on upexpress.com. Hotel shuttles from airport-area hotels are free or cheap but only serve that hotel. Shared-ride vans keep costs down by pooling strangers, at the price of time. TTC routes such as the 900 Airport Express are the cheapest option of all and are listed on the TTC's airport page. A private shuttle wins when the group is four or more, the luggage is serious or the destination is off the train line.
Airporter Toronto shuttle: the regional run
Many travellers searching for an airporter are coming from outside the city: Hamilton, Kitchener-Waterloo, Guelph, Barrie or Niagara. Scheduled regional airport coaches exist on some of those corridors and are worth checking if you are travelling alone. For a group, a private van or Sprinter from your door usually makes more sense: no drive to a coach stop, no fixed departure times, and a single fare split however you like. From Kitchener-Waterloo the sedan planning figure is $265–325, so even at 2.2 times that a full Sprinter works out to a modest amount per person. See our Hamilton and Kitchener-Waterloo city pages for local detail.
How group arrivals work at Pearson
Groups rarely land together. When a wedding party or conference group comes in on several flights, dispatch tracks every flight number and either holds one Sprinter for the whole group or sends vehicles in waves, whichever is cheaper and fairer. You tell us the flights; we suggest the plan. Pickup is at the terminal's pre-arranged commercial pickup area, and the chauffeur texts precise directions after landing. Free waiting from the actual landing is 30 minutes for Canadian domestic and US flights and 60 minutes for other international flights. For groups with many first-time visitors, adding meet and greet puts someone inside the arrivals hall to gather everyone.
Departures for groups
Moving fourteen people to Pearson on time is a logistics job. We ask for a single pickup address wherever possible; each extra pickup adds time and is priced when you book. The chauffeur arrives ten minutes early, and 15 minutes of waiting is included at the pickup. Check-in for groups takes longer, so for international flights aim to arrive three hours before departure. If your group is split across Terminals 1 and 3, tell us at booking and we will plan the drop order; the free Terminal Link train connects them. The how early to arrive at Pearson guide helps with timing, and Toronto Pearson posts live security wait times.

Luggage, equipment and awkward items
Sprinter luggage space is generous but not infinite. Hockey bags, golf clubs, instrument cases and boxed bikes take the space of about two ordinary suitcases each. Tell us what you are carrying and we will confirm whether it fits or send a second vehicle. Strollers and folding wheelchairs go into any van. For groups with a lot of gear, such as film crews, dispatch can arrange a cargo vehicle alongside the passenger van. Ask a coordinator for a written price for anything unusual.
Children and accessibility
Child seats are available on request in vans and Sprinters just as in sedans; list every child's age at booking. Whatever the exemptions for taxis and buses, we fit the right child seat for every child who needs one; the province's provincial car seat guidance explains the stages. For travellers who use a wheelchair, we arrange accessible vehicles with ramps or lifts through our wheelchair-accessible transfers service; tell us whether the passenger can transfer to a seat.
What is included
- A private vehicle and chauffeur for your group only.
- Fuel, 407 tolls if used, airport fees and gratuity.
- Flight tracking on every flight in the booking.
- Included waiting as described above.
- Help loading luggage.
HST is shown separately. Extra stops and extra waiting are billed at published rates.
Booking a private shuttle
Enter the group size and luggage count, and the booking engine suggests the right vehicle. You can override it; if you choose a van for eight people the engine will warn you. Confirm and pay online, and you receive the chauffeur's details the day before. For multi-vehicle bookings, weddings or anything over fourteen people, a coordinator can price the whole job in writing.
Changes and cancellations
Numbers change in group travel, and we try to keep up. Dropping from a Sprinter to a van is free if you tell us more than 72 hours ahead. Cancellation charges follow the sitewide rule: nothing beyond 72 hours before the pickup, 10 % within 72 hours, 50 % within 48 hours and 100 % within 24 hours or for a no-show.
Pearson to downtown and beyond
The most common private shuttle run is Pearson to a downtown hotel. The route guide for Pearson to downtown Toronto covers traffic times, and the Pearson to Niagara Falls guide covers the longer group trip along the QEW. For a single traveller or a couple, the Pearson airport limo page is the better starting point.
Conference and event groups
Toronto's large conventions bring thousands of delegates through Pearson over a couple of days. For a company sending twenty or thirty people to one of those events, a private shuttle plan is simpler than twenty individual taxi receipts. Dispatch can build a schedule of Sprinter runs timed to the main flight banks, with a coordinator who holds the passenger list and flight numbers. The same plan works in reverse on the last day, with departures staggered by flight time so nobody waits two hours at the airport. For events with delegates arriving all week, see the conventions and trade shows page, and for corporate billing the corporate accounts page.
Sports teams and school trips
Hockey, soccer and volleyball tournaments bring youth teams through Pearson most weekends of the year. Coaches tell us the two pain points are kit bags and timing. A Sprinter takes a full roster with equipment if we know the bag count in advance; if not, we add a second vehicle. For minors, parents often want a named chauffeur and a message when the team is collected and dropped. Tell us the chaperone's mobile number at booking and dispatch sends updates to both the chaperone and the booker.
Wedding guests flying in
Destination and multicultural weddings in the GTA often mean dozens of guests landing at Pearson over two or three days. A private shuttle programme lets the couple, or their planner, hand the whole job to one coordinator: guest list, flights, hotels and a schedule of vans and Sprinters. Guests are met at the commercial pickup area, or inside the arrivals hall with a name board if you add meet and greet, and taken straight to the hotel. For the wedding day itself, see wedding limo for cars and partner-supplied stretch limousines.
Why we don't run a scheduled shared shuttle
We are sometimes asked why we don't run a cheap scheduled shuttle to downtown hotels. The honest answer is that the UP Express already does that job well for light travellers, and a shared van that stops at six hotels cannot compete on time. What groups lack is a door-to-door option that is not two or three separate cars. That is the gap a private shuttle fills.
Dispatcher's tip for group pickups
Name one group leader and give us that person's mobile number. On arrival day, the chauffeur texts the leader rather than fourteen separate people, the leader gathers everyone at the pickup point, and the van leaves as soon as the last bag is in. Groups that do this are usually on the highway within minutes of the final passenger clearing customs.
